WE’RE HIRING A DIRECTOR OF ADMINISTRATION (MATERNITY LEAVE COVERAGE)

Ours is a fast-paced, friendly environment with an enterprising culture. We seek a full-time member to cover a maternity leave for our Finance & Administration team. Responsibilities will be as follows:

BOOKKEEPING – LABEL, MANAGEMENT, AND PUBLISHING COMPANIES

  • Under the supervision of VP Finance, oversee all day-to-day bookkeeping responsibilities related to the companies’ financial data and compliance by maintaining accurate books on accounts payable and receivable, payroll, and daily financial entries and reconciliations for Six Shooter Records Inc, Six Shooter Inc, and High Priestess Publishing Inc.
  • Process semi-monthly payroll, provide employees with paystubs. Provide annual T4s, records of employment when needed, and support any other employee payroll tax/CRA requirements. Be responsible for maintenance of employee data in Collage (HR software) as it pertains to payroll.
  • Delegate and collaborate with external third-party accounting support for all tax filing and payments (HST, income taxes, payroll remittances).
  • In collaboration with artist bookkeepers and the artist management team, issue monthly management commission invoices and artist account updates including offstage invoicing updates. Maintain timely follow-up practices to ensure prompt payment.
  • Scanning receipts and related filing (physical and digital).
  • Process all sales reports (from distributors, Six Shooter’s webstore, PROs etc) for ingestion and/or inputting into Quickbooks, RoyaltyShare, internal dashboards etc.

DATA & ADMINISTRATION – LABEL & MANAGEMENT COMPANIES

  • Maintain internal data on Google Cloud Storage (as sales statements come in, populate the required template, clean the data, and upload to Google Cloud Storage). Using BigQuery and SQL, load the data into developed databases and pull reports accordingly. With that data, maintain sales , and consumption dashboards and make ad-hoc reports for stakeholders. Meet quarterly with all VPs and Directors to review data needs/reports and make suggestions. Create and present reports as requested for internal meetings, Data Days, and other purposes.
  • Be the main driver of the continuous improvement of how the companies use the data available to them. Lead other departments and empower team members in their use of data to inform decision-making, budget building, and strategic planning.
  • Manage mechanical royalties using RoyaltyShare and CMRRA’s MLA program.
  • Assist with grant completions for both the label and our management clients as requested. Including but not limited to proofing material and organizing expense documentation.

ADMINISTRATIVE – PUBLISHING

  • Invoicing for sync licenses, related accounts receivable tracking.
  • Manage receipts and payables submitted from the publishing team for bookkeeping purposes.
  • Maintain internal Publishing Dashboard tool. Notify the Director of Publishing when updates are made, draw attention to any trends and/or unexpected fluctuations in revenue, etc.
  • Upon request and under the direction of the Director of Publishing, build custom sales, catalogue, results, placements etc reports using data from the Publishing Dashboard and from the Placement Pipeline Tracker in Monday (Placement Pipeline data in Monday is maintained by Director of Publishing and the Publishing & Sync Manager).

REQUIREMENTS

  • Commitment to administrative excellence, demonstrated by accounting or bookkeeping work history; and/or data and/or royalties management work history; and/or a diploma or certificate in accounting, finance, data analytics, business or arts management.
  • A working knowledge of computerized accounting systems evidenced by employment history or completed courses using spreadsheets (e.g. Excel, Google Sheets) and one or more accounting apps (e.g. QuickBooks, Xero, Sage50).
  • A working knowledge of Google Cloud (Storage and BigQuery), SQL, Google Data Studio or equivalent skill set with Excel.
  • Self-starter with exceptional attention to detail, solid time management skills and the ability to multitask and prioritize, while staying ahead of deadlines in a fast-moving environment.
  • Excellent bookkeeping and data analysis skills.
  • Proficiency in Google Suite, Dropbox and Slack.
  • You must be able to keep financial matters strictly confidential.

JOB SPECS

Position: Director of Administration (Full-Time, 7 month maternity leave coverage)

Reporting to: VP Finance

Start Date: Flexible, ideally early-mid March 2023.

Hours: Monday-Friday 10:00AM – 6:00PM (EST)

Location: Preference will be given to Toronto-based candidates but we will consider remote candidates. Six Shooter is currently experimenting with an in-office/work-from-home hybrid model, subject to change.

Compensation: Salary range from $55,000-$69,000 to be determined commensurate with experience.
